Search tips

To login - remember to use your email address and password, rather than your user name.
Once you are logged in, follow these simple instructions:

AtoM allows users to search for data in a number of different ways.

The Browse function allows users to look at the data from a pre-defined perspective, e.g. by looking for a series or for an organisation or person that was predominantly associated with the creation or control of the archival record in question. The Search options provide users with the opportunity to identify specific items by words in the title or by the identification code that has been assigned to the record by the SRO. It allows the search to be filtered by repository (where the records are held), by its copyright status, responsible organisation and so on.

Browse
The Browse menu is at the top of the page. Use the pull down menu to choose the type of record you are interested in.

Browse options are:

Archival Description (series and items)
Organisations and People (agency)
Archival institutions (the organisation that holds the archives)
Functions (the activities and responsibilities of an organisation at whole of government, agency and record creation level).
Subjects
Places
Digital Objects

Browse by entity type
The Browse menu provides a table of archival descriptions, organisations and people, etc, which can be sorted by most recently updated, reference code or alphabetically. The reference code sorts by series number, consignment and item number, but will only show the item number.
You can further filter browse by using the menu on the lefthand side of the page.

Search
The main search field is located at the top of the AtoM page. Enter a term into the field and click on the ‘search icon’ to start the search. AtoM will look for elements in any entity (archival or agency) description which meets the search term e.g. ‘Fremantle’.

Use the menu on the left hand side to further filter your search.
The search field also allows for truncated or ‘wild card’ searching e.g. exhibit*

Note that, as you search, the system provides suggestions.

Advanced Search
Note that this is recommended only for very experienced users of the catalogue. For most searches the main search box and side menu filters are sufficient.

Click in the Search box at the top of the page. An advanced search box will show.

Search within series
You can also refine your search by looking for a particular term in a series. This is particularly useful when looking for an item by title or name. Find the series by searching in the top box by Series identifier (Sxxx) or by consignment number (consxxx, then click on an item to find the series). Use the filter for item level description and click on the series link. On the series page, enter the search term in the quick search tab on the left hand side of the screen.
Enter the term you are looking for in the grey box and click on the magnifying glass.

Downloading images
Each image presents as a small thumb nail, a medium size thumbnail, and a full scale digital image. To move through these layers, simply click inside the image. Download the full scale image using your mouse or keyboard commands, to allow the images to be zoomed, cropped or otherwise edited. Remember that you must acknowledge the author (agency or photographer) and the SRO when using these images. Permission is required from SRO for commercial use of digital images, such as a book, educational resource or documentary.

Exporting search results

You can export search results directly from the results page if you are logged in, or from the clipboard if you are not logged in.
Please do not use the reports button, particularly for large reports as it can clog the system.

Once you have started your export, you will be asked to look at the jobs management page, which you can find at https://archive.sro.wa.gov.au/index.php/jobs/browse
